Using AI to Handle Payroll in Your Small Irish Business

Payroll is one of the most consequential parts of running a small Irish business — get it wrong and you face penalties from Revenue, unhappy staff, and a compliance headache. AI cannot replace a proper payroll system or a qualified payroll professional, but it can significantly reduce the admin burden around payroll — and it can help you understand what you are supposed to be doing.

What AI Can Help With in Payroll

1. Understanding Revenue Payroll Requirements

If you are a small employer new to hiring staff, the Irish payroll system can be confusing. Revenue Payroll Notifications (RPNs), the distinction between PAYE, PRSI, and USC, employer PRSI obligations, the difference between a payroll submission and a payment — these are not obvious if you have not done it before.

ChatGPT is useful for understanding how the system works in plain English:

“Explain how PAYE Modernisation works for a small Irish employer with three part-time staff. What is a Revenue Payroll Notification (RPN), when do I need to submit a payroll submission, and what happens if I miss a submission deadline? Explain it in plain English as if I have never done payroll before.”

You will get a clear, readable explanation. Use it to understand the process — then verify the specifics with Revenue's website (revenue.ie) or your accountant before acting on anything.

Niamh, who runs a small coffee shop in Kilkenny with two part-time staff, used ChatGPT to understand what employer PRSI obligations she had when she first took on employees. She says the explanation she got from ChatGPT was clearer than anything she had found on Revenue's website, and it gave her a starting framework before she met her accountant. The meeting was significantly more productive because she already understood the basics.

2. Formatting Payslips

If you use a payroll system, it generates payslips automatically. But some small employers — particularly those just starting out or running very small informal arrangements — produce payslips manually. AI can help format these correctly.

Note: the numbers on a payslip must come from an accurate payroll calculation — you cannot use AI to calculate PAYE, PRSI, or USC correctly. But if you have the numbers (from your payroll software or accountant), AI can format a professional payslip template.

5. Preparing Questions for Your Accountant or Payroll Bureau

One of the most underrated uses of AI is helping you prepare better questions before a meeting with a professional. If you have a payroll issue — a new hire with an emergency tax basis, a director taking a salary for the first time, casual or variable hours staff — use ChatGPT to understand the concepts beforehand so you can ask informed questions.

This saves professional fees and gets better outcomes. Your accountant can focus on the decision rather than explaining the basics.

Where AI Absolutely Should Not Replace Professional Advice

  • Actual payroll calculations — PAYE, PRSI, USC, and employer PRSI must be calculated correctly. Use Revenue-approved software. BrightPay is popular and relatively affordable for small Irish employers.
  • Revenue submissions — Payroll Submission Reports (PSRs) must be filed correctly and on time. Errors result in penalties. Use proper software or a payroll bureau.
  • Employment law questions — minimum wage, annual leave entitlements, public holiday pay, redundancy — these have legal answers. AI will give you approximations. Get proper advice.
  • Director's salary arrangements — if you are a company director, how you structure salary, dividends, and pension contributions has significant tax implications. This needs a qualified accountant.
